Taking just five minutes to declutter your digital workspace can make a world of difference in your productivity, focus, and peace of mind. This quick routine doesn’t require hours of deep cleaning; instead, it’s a simple but powerful habit that works to keep your tools organized and your mind clear. I do this every Friday before I close up my office for the weekend, and it’s a game-changer. Let’s dive into the steps that will help you master your digital space and make your workflow run smoother.


Step 1: Clear Your Digital Desk

Start with a quick sweep of your desktop, downloads folder, and browser tabs. Close any open tabs that aren’t relevant anymore. Move downloads to their proper folders or delete what you don’t need. If you’re unsure, move them to your “File or Delete” folder to sort through later. Clear out any random screenshots, temporary files, or one-off documents. For me, I created a ‘screenshot file’ on my desktop, and I simply delete everything in it every week. This simple task creates an instant sense of clarity, just like cleaning off your kitchen counter before cooking.

Step 2: Tidy Your Workspace

Now, open your primary tools – Asana, Google Drive, and Google Calendar. Spend 1-2 minutes in each tool to quickly tidy things up:

  • In Asana: Move incomplete tasks to another day and review the next day’s to-dos. I do this at the end of each workday, not just weekly, to stay on top of my tasks.
  • In Google Drive: Move files from your shared or “recent” area into their proper folders.
  • In Google Calendar: Check for duplicate events, old time blocks, or unnecessary holds.

This isn’t about doing a deep clean; it’s a reset. A simple action that keeps everything flowing and organized.

In the last few minutes, tackle files that need organizing:

  • Rename any poorly labeled files, especially screenshots or documents titled “Untitled.”
  • Move loose files into your established folder system to keep things in their rightful place.
  • Delete duplicates or files that you know you won’t need again.
