Prioritize Your Business with Asana and Full Focus Planner

Before diving into the specific tips, I want to share how two tools – Asana and the Full Focus Planner – have revolutionized my approach to managing tasks and priorities. These tools work seamlessly together to keep me organized and stress-free, transforming my once chaotic business into a calm and efficient operation. By eliminating wasted time and finances, I’ve gained more free time and control over my business than I ever thought possible, and you can too!


Tip 1: Categorize and Breakdown Your Business Areas

Start by categorizing the departments or areas of your business, such as your morning routine, workday start-up, networking, and personal development. Next, break down every project within each category, which is an absolute must. Yes, ‘every' means listing every single project, task, and subtask, but the act of starting this process makes it much more manageable and less overwhelming. Be systematic about it! This approach helps you see all the moving parts of your business and ensures nothing falls through the cracks.

Tip 2: Assign Themes to Each Week

Once you’ve listed all projects, tasks, and subtasks, the next step is to assign themes to each week of the month. This method ensures you’re not just reacting daily but are proactive in shaping your business.

Here’s an example of how I do it:

  • Week 1: Deep Work – Research and preparation.
  • Week 2: Front of the Business – Client interactions and front-end marketing.
  • Week 3: Background of the Business – Operations, inventory, or backend systems.
  • Week 4: Wrap up – Finalizing projects and planning ahead.

For those months with an extra week, I leave Week 5 open. It’s a buffer for catch-up, future planning, or well-deserved rest. This thematic approach keeps your focus sharp and ensures all aspects of your business get the attention they need.

Tip 3: Define Specific Time Blocks

Defining specific blocks throughout your day for different activities ensures a balanced and productive schedule. Here’s a glimpse into my typical day:

  • Morning Routine Block: Essential to start the day right.
  • Workday Startup Block: Reserved for CEO and admin tasks.
  • Ritual Block: Changes weekly, based on the theme.
  • Social Block: For engaging with communities and networking.
  • Project Blocks: For focused project work, flexible based on current needs. This could be one, multiple, or none!
  • Professional Development Block: To learn and grow.
  • Workday Shutdown Block: To button up the day, then review and plan for the next day.

This structure helps you stay organized and ensures you’re dedicating time to all aspects of your business.

Tip 4: Use Asana for Detailed Project Management

In Asana, I enter all my projects, tasks, and subtasks. This might seem like a lot at first, but once set up, it ensures nothing falls through the cracks and saves incredible amounts of time. Asana helps you maintain a clear overview of your business operations and keeps your workflow smooth and efficient.

Tip 5: Align Daily Tasks with Top Goals in the Full Focus Planner

In the Full Focus Planner, I align my daily tasks with my top goals for the year, breaking them down by quarter, month, and day. This big-picture approach keeps everything in perspective and drives daily productivity.
